How do I reserve a booth?

How many attendees are expected?

We are expecting approximately 1200 attendees.

Is it possible to obtain the attendee list?

Unfortunately, the list is not available for purchase. As an exhibitor you will receive a complimentary lead retrieval, which will populate attendee information that you scan.

What is the projected number of exhibiting companies?

More than 100 anticipated

What is included with my 10’ x 10’ booth package?

Is the booth carpeted?

No, it is not. It is required for the exhibiting company to purchase carpet for their booth. This can be done through the exhibitor service kit, which will be available sometime in August.

How many registration badges are included?

Two full conference badges are included per tabletop. Additional badges can be purchased at the discounted rate of $425 each. Please click here to register for these badges.

Do you have “exhibit only” badges that I can purchase?

We do not have “exhibit hall only” badges.

Are the complimentary badges full access to the entire conference?

Yes, the complimentary badge grants you access to all sessions.

How can I reserve a guest room for the conference?

When is exhibitor set-up and breakdown? What are the exhibit hours?

  • Setup is on Thursday, November 15, from 1:00 pm to 5:00 pm and on Friday, November 16, from 8:00 am to 12:00 pm.
  • Breakdown is on Sunday, November 18, from 9:00 am to 12:00 pm.

When will the floorplan and our booth assignment be available?

The floor plan and booth numbers will be made available sometime in September.

How do I go about ordering additional services (Wi-Fi, power, etc.) for my booth?

The exhibitor service kit will be sent out sometime in August. In this kit, you will find information on shipping, and ordering audiovisual, Wi-Fi, as well as any furniture for your booth.

Where can I find shipping information?

The exhibitor service kit will include information on shipping.

Where do I pick up my complimentary lead retrieval and what is the data that it will report?

You can pick up your lead retrieval at the exhibitor registration desk, which is located near the main registration area. Please note that you will need to sign in for it, and then return and sign out during exhibit breakdown. The reports will include the person’s name, affiliation, city, state, e-mail, and phone number. Reports will be sent out within 3 to 5 business days following the conference.

Are raffles/giveaways allowed to be done at an exhibit booth?

This is permitted; however, it needs to be clearly stated that AONN+ has no involvement with the giveaway and the winner of the prize will need to be privately communicated by the exhibiting company. AONN+ cannot be involved with announcing the winners in any way.

Product Theater FAQs

Where is the Product Theater going to take place?

The Product Theater will be held in the Trinity Exhibit Hall at the Hilton Anatole.

What is the time allotment for a Product Theater?

The time allotted for Product Theaters is approximately 60 minutes collectively for registration and the presentation.

How many people does the room fit and what is the setup?

The meeting room will accommodate up to 100 people in a theater setup.

What type of audiovisual equipment is included?

A screen, projector, wireless advancer, presenter lavalier microphone, and a handheld microphone are included.

Are conference badges included with the Product Theater?

Two complimentary full registrations are included with a Product Theater. These can be used for your presenter and your onsite staff person.

How do you keep track of attendance onsite?

We will provide 1 or 2 scanners to scan attendees as they enter the room. An AONN+ staff member will be available to scan. A report will be sent to you within 3 to 5 business days after the conference.

What information needs to be provided in order to list our session on conference materials?

We will need to receive your title and presenter’s information by August 17, 2018, to include your session’s details in our publicity and initiative materials.

How do I go about shipping materials for my Product Theater?

Shipping information will be provided to the sponsorship contact; thereafter, it is the sponsor’s responsibility to track and handle their packages once onsite. Please note that all shipping and handling fees of materials are the responsibility of the sponsor. The sponsor will also be responsible to set out any materials for their session in the meeting room.

What are the signage regulations?

Up to 2 signs, not to exceed 24” (width) x 36” (length), may be displayed 30 to 60 minutes prior to the time of the presentation on the day of the program. For morning time-slot presentation times, signage may be placed the evening prior any time after 7:00 pm. Signage may be placed outside of the meeting room and AONN+-contracted meeting space area (eg, meeting registration desk foyer) 30 to 60 minutes prior to the time of the function. AONN+ will have its own generic signs and/or announcements to guide participants to the Product Theater.

N.E.X.T. Day Session FAQs

How many people does the room fit and what is the set up?

The meeting room will accommodate up to 400 people in a theater or classroom setup.

What is the time allotment for a N.E.X.T. Day Session?

The time allotted for a N.E.X.T. Day Session is approximately 75 minutes collectively for registration and the presentation.

What type of audiovisual equipment is included?

A screen, projector, wireless advancer, presenter lavalier microphone, and a handheld microphone are included.

Are conference badges included with the N.E.X.T. Day Session?

Two complimentary full registrations are included. These can be used for the sponsor’s presenter and onsite staff person.
